What you will do:
In this role you will provide support to the President, Global HVAC Applied Systems & Global Data Centers. You will be responsible for ensuring the Vice President is successfully positioned to carry out their day-to-day activities and is represented to others who need to engage with them in a professional manner. You will need to possess strong attention to detail while managing multiple tasks simultaneously in a fast-paced, high-energy environment.
How you will do it:
- Represent the Global Products office with professionalism and highest levels of integrity.
- Interact daily with executives of JCI, key external customers and potential clients
- Manage calendar activity, schedules appointments and phone calls, coordinate globally complex travel arrangements and administers expense reporting and tracking
- Provide support for projects to meet the ongoing needs of the team, including budget administration, reconciliation and submission of invoices, organization of events, maintaining various calendars as well as logistical and technical support
- Communicate effectively with executives and other administrative staff to gather and convey information
- Compile weekly team management and reporting documents
- Assist with event plans and technical support (copy machine, phones, PCs, etc.) as needed
- Potential opportunity to assist with new hire on-boarding, including ordering of equipment PCs, mobile devices, and arrange for needed IT access, implementation and software applications
- Monitor and maintain existing team equipment like laptops and mobile devices and arrange for IT support, and implementation of software applications and updates, as necessary
- Provides other administrative support to other team members, as needed
What we look for:
- Bachelor’s degree in business administration is preferred and minimum of three years prior Executive administrative support or coordinator experience is required, ideally in a global work environment.
- Experience in global travel and meeting coordination
- Demonstrated proficiency in using a variety of office/desktop solutions including Microsoft Office (Outlook, Excel, Word, and PowerPoint) – SharePoint is a plus
- Possesses critical thinking skills and demonstrate problem solving capabilities
- Ability to work flexible hours on occasion, as required (i.e., working before 8am, after 5pm)
- Effective verbal communication skills as well as confidence in communicating with all levels of the organization
- Strong organizational skills and ability to prioritize in a fast-paced environment
- Maintain attention to detail and ensure accuracy in work performed
- Proven ability to handle sensitive and confidential information ethically and responsibly
