What will you do
The Office Associate ensures efficient planning and administrative support to ensure the effective office operations. The role acts as a first point of contact for executives and visitors and provides essential administrative assistance to the site leadership.
How will you do it
Plan lead for the logistics and administrative support of Johnson Controls Quarterly Committee Meetings, Board Meetings and related Executive visits to support the required Neuhausen operating model. Incl preparation of support documentation, signature filings, set up of meeting venues, hotel requirements, airport transfers, catering, dinners, etc.
Ensure required administrative responsibilities incl document collection, signature collection and documentation filings are completed with diligence and consistency.
Deliver exceptional visitor support, serving as the first point of contact and onboarding support for customers, executives, new employees and external partners.
Ensure receptionist onboarding and briefings to support broad set of reception activities, also serving as backup support during holiday and sick leave.
Support Legal teams in related notarizations, signature completions, documentation
Manage selected executive travel planning and expense management incl meeting coordination, calendar management, and internal communication with confidentiality and data protection.
Handle incoming calls, emails, and general inquiries professionally.
What we are looking for
Secondary education or equivalent; administrative background
Experience in executive support and office management preferred.
Good knowledge of English and local language as required.
Competent user of MS Office (Outlook, Word, Excel)
Strong communication and interpersonal skills.
Service‑oriented, professional, and reliable approach.
Good organizational skills and ability to prioritize tasks.
Discretion and ability to handle sensitive information.
