What you will do

  • Work closely with Project Manager and other internal departments to preform various project-related tasks, from assignment of project managers through to completion and closure of projects.
  • Update all pertinent information in our Installation Backlog Tool so that all stakeholders are informed of installation progress from the time of booking to completion.
  • Assist with procurement and tracking of materials, including reviewing Accounts Payable on hold report.
  • Review project cost overages, make corrections where required and report true overages to Management.
  • Track and verify WIP backlog reports with Project Managers for monthly revenue roll-up to management.
  • Initiate customer invoices, working closely with Accounts receivable to correct any billing discrepancies and confirming payment receipt from customers for project close-out procedures.
  • Complete review of open invoices ready to be finally closed, clear open commitments against projects ready for completion and closure, this process includes rebalancing project budgets to reverse trailing cost accruals.
  • Maintain and track intercompany labour for accurate accounting for projects.
  • Review weekly time cards for technicians’ hours, working with management to correct any errors.
  • Authenticate and process all necessary paperwork to ensure that each installation meets with JCI’s Zero Harm safety policy.
  • Process all necessary paperwork to ensure the timely closeout of the installation.  This requires solid communication with multiple internal departments.
  • Facilitate the closing of each installation job either directly or through follow-up with various other departments.
  • Arrange Technician training and maintenance of certificates for both product training and health and safety requirements.
  • Maintain and track compliance reports for various monthly health and safety requirements.

How you will do it 

  • Communicate with Project Managers, Accounts Payable, Account Receivable and Management, via telephone, email or internal program.
  • Work with Sales, National Account and CSR teams on any installation financial concerns.
  • Work with installers, sub-contractors, install manager and material handlers.
  • Work with vendors regarding material shipments and invoicing.
  • Running reports from the system to share with installation team and stakeholders
  • Utilizing the system to complete various tasks on projects

What we look for 

Required

  • Post-secondary education in business or equivalent
  • At least 1 year of customer service experience.
  • Strong organizational skills.
  • Ability to communicate in a professional business manner. 

Preferred

  • Knowledgeable in Microsoft (Especially Outlook and Excel and Teams).
  • Excellent written and verbal communication skills.
  • Ability to handle several tasks simultaneously.
  • Ability to work in a fast-paced, team-oriented environment
