What you will do
The Operations Supervisor supports the Operations & Maintenance (O&M) function as the primary service provider at a large government facility. Reporting to the Customer Business Manager (CBM), this role ensures contract compliance, manages helpdesk activities, and coordinates with staff, contractors, and clients. The supervisor is responsible for overseeing all operational processes, assigning and monitoring team tasks, and maintaining effective client and management communication.
How you will do it
Work Coordination: Assign and track demand and maintenance tasks. Classify; assign; monitor and conduct daily reviews; of all work events.
Resource & Inventory Management: Plan and coordinate all resources, procure materials, and manage inventory levels.
Vendor & Contract Oversight: Oversee relationships with external service providers. Manage vendors and contractors’ quality of service delivery, compliance and documentation.
Reporting: Generate reports on operations, maintenance, and performance. Prepare periodic monthly reports and payment adjustment reports.
Compliance & Quality: Ensure safety, quality, and regulatory standards are met. Assist with adherence to quality control and compliance procedures.
Customer Service: Serve as the main contact for clients and resolve issues. Collect and analyze customer feedback to identify areas for improvement.
Team Leadership: Train, support, and evaluate team members. Ensure team members receive necessary training and development opportunities.
Strategic Planning: Contribute to long-term planning and emergency readiness. Assist with development, implementation, and training of emergency response plans.
Sustainability: Support environmental initiatives and compliance. Monitor sustainability initiatives to reduce environmental impact.
Professional Communication: Perform professional written communication liaising between O&M staff, contractors, and service requesters. Participate in formal discussions and providing meeting minutes.
Management Reporting: Generate and provide management reports on topics such as overtime, sick time, work backlog, equipment repair history and cost, trouble calls, work orders, and customer satisfaction.
Periodic Monitoring and Reporting: Coordinate with site staff, contractors, and helpdesk to collect daily information needed for monthly periodic monitoring and payment adjustment reports.
Job Planning and Estimation: Assist management with planning and estimates for preventative maintenance, service, and project activities.
Meeting Coordination: Coordinate daily/weekly meetings with facility maintenance management to develop schedules, review status of work orders, and discuss new incoming work orders.
Budget Management: Support management to monitor operational costs, ensure expenditures are within the allocated budget, and identify cost-saving opportunities.
Conflict Resolution: Raise conflicts or issues within the team or with external contractors to management.
Process Improvement: Continuously evaluate and improve operational processes to enhance efficiency and effectiveness.
Operations Monitoring: Perform effective supervision on operational activities and escalate issues to management as needed.
Vendor & Contract Management: Supports management with all vendor contracts and service level agreements. Work with the company administration teams to onboard vendors, and ensure they receive the required purchase orders provide timely invoices. Monitor compliance with the contractual agreements.
What we look for
Education: Bachelor’s degree or two years’ equivalent experience in a facilities management support role or project management support role.
Experience: Proven background in operations management, a supervision role or projects coordination role.
Skills: Project and team leadership, strong communication and problem-solving, technical proficiency (CMMS, MS SharePoint), analytical and organizational strengths, customer service focus, knowledge of safety and compliance standards.
