What you will do

Front Office Coordinator is a key role reporting to the Operations Supervisor, and is responsible for providing efficient support and handle General Administration tasks, while providing efficient utilization of resources in accordance with applicable standards. The Front Office Coordinator will be based in Dubai and will be in-charge of general administrative, travel & event planning, Technical training coordination activities.

As a member of this team, you will work within a vibrant environment that provides a platform for you to use your experience to generate satisfactory results.

How you will do it

As a Front Office Coordinator, your responsibilities will be:

Front Desk Management:

  • Greet and welcome visitors in a professional and friendly manner.

  • Answer, screen, and forward incoming phone calls promptly.

  • Direct guests to the appropriate person or department.

Communication:

  • Respond to inquiries via phone, email, or in person.

  • Provide accurate information about the company to clients and visitors.

Office Management Assistance:

  • Monitor and maintain office supplies inventory.

  • Coordinate with vendors for office maintenance and services.

Compliance & Security:

  • Ensure adherence to security protocols for visitors and staff.

  • Report any suspicious activity or safety concerns to management.

Travel and Event planning:

  • Coordinate travel administration and travel expenses for visitors and internal personnel. Included but not limited to reservations, mode of transportation, travel dates and accommodations.

  • Help to prepare event schedules and coordinate with parties as needed.

What we look for

Required:

· High school education in business administration or a similar field

· Fluency in English, both written and verbal

· 1-3 years of working experience / Internship experience in Admin / Coordinator related activities

· Solid organizational skills including attention to detail and multi-tasking skills

· Proficient in MS office
