This is intended to be an onsite position as access to systems, inventory, etc. are critical to the requirements of this position.  Primary day-to-day responsibility includes Operational Administrative Support documenting and supporting on-going break/fix activities and other site related projects via internal applications, and coordination and dispatch of materials, field service technicians, and other support mechanisms.  Further responsibilities include but are not limited to assisting the Johnson Controls (JC) Project Manager and external Construction Managers / Project Managers with coordination, documentation, ordering of materials and coordination of JC labor for internal and external projects.  Also including any required day-to-day general office duties as needed to assist the team.

The Project Coordinator is expected to be a Monday through Friday dayshift position (40 hours per week) with holidays off.  Johnson Controls, with the approval of the Customer, will establish the exact working hours.  Days and times may be periodically adjusted (scheduled in advance) for shift work or special projects upon approval by the Customer.  Working hours shall consider the Customer’s office hours as well as the ability for the Project Coordinator to interact with both dayshift and afternoon shift technicians and staff.  Example:  Johnson Controls may request that the Project Coordinator work select afternoon shift hours to coordinate an activity with afternoon staff, or they may ask to work a weekend to allow for inventory counts, etc. 

While this position may have some technical aspects to it, it is not a technician position.  Any technical assistance being provided by the Project Coordinator shall not be at the expense of the Project Coordinator’s primary tasks, which shall always take precedence.

  • Customer/Site Security will work with the Project Coordinator (PC) on daily and long-term projects.
  • Act as liaison between the Customer and Johnson Controls for day-to-day operations, oversight, execution of routine and preventative maintenance, response to service calls, designated system administrative functions, inventory management, ordering, contract compliance and computer network management.
  • The Project Coordinator and Johnson Controls’ team are responsible for ensuring that the assigned staff are meeting all the contractual requirements, as well as general business needs, including but not limited to, staffing levels, time & attendance and scheduling, employee discipline, regular assessments of employee work quality, timeliness, and effectiveness.
  • The Project Coordinator will be assisted by internal Stake Holders on an as needed basis, such as the Johnson Controls Project Manager(s), Sales and Engineering staff, as well leadership and business teams. 
  • Be the primary point of contact for the Customer regarding service calls, system issues, project, and task coordination, etc.  The PC is expected to evaluate reported issues or tasks and distribute them to the technicians in a way that not only meets contract requirements, but also takes into consideration operational impacts and priority of issues.
  • Be the primary point of contact for invoicing and is responsible for ensuring that the Customer receives all required invoice documentation within the specified timeframes.
  • Be responsible for providing guidance, support, and technical assistance to the technicians if trained to do so, as applicable.
  • Be responsible for ensuring that open items and tickets are being followed up and reported-on regularly.  The goal is to ensure that issues are being addressed in a timely manner and that all affected parties are aware of the status.  This includes tickets being handled by onsite and on-call staff, as well as items being handled by manufacturers or vendors.
  • Be responsible for ensuring that all reports and documentation presented to the Customer are professional, accurate, timely and complete.
  • Have access to a workspace that may include the following: an office desk within the technician area, a landline telephone, a Customer provided desk computer, a ProWatch workstation, and a CCTV workstation.
  • Meet regularly with designated Customer representatives to review and discuss system issues, events or incidents that may occur during daily operations.  Provide a written agenda and meeting minutes for the regularly scheduled meetings (usually weekly), including topics requested by the Customer.
  • Attend all required work in progress, and coordination meetings.
  • Tracking of project RFI (request for information) documents, change orders, and other pertinent documentation.
  • Monitor and assist with communicating status of additional one-off security projects.
  • Communicate with customers and field technicians as to when material and/or labor is required.
  • Process / Invoicing of material orders, service work, construction projects, change orders, etc.
  • Compile back-ups for items such as Certified Payroll, work tickets, etc.
  • Filing of Insurance Certificates.
  • Creation of Transmittal Documents to track material in/out.
  • Creation of Warranty Letters
  • Coordinate delivery of equipment / materials to the site.
  • Prepare, coordinate, and deliver material-related and project close-out documents.
  • Creation of purchase orders for materials and subcontractors.
  • Creation, coordination, and verification of project schedules.
  • Creation, coordination, and verification of manpower schedules (i.e. 8 wk. look-ahead, daily, holiday, vacation).
  • Coordination/ Follow Ups with Sales Team regarding project bookings, releasing of jobs from internal / external stake holders.
  • Assist with AR/AP (accounts receivable / accounts payable) issues.

What we look for:

Required Minimum Qualifications:

  • Must be 18 years of age.
  • U.S. Citizen or be a registered, resident alien.
  • Must be fluent in the English language, both oral and written.
  • Valid driver's license with a good driving record.
  • Possess a high school diploma or equivalent and produce proof of such, upon request.
  • Must Pass a pre-employment background check and drug screen.
  • Able to obtain and maintain Site Specific Photo ID badging requirements and any associated privileges to complete the work related to this service contract and site-specific requirements.
  • Proficient in Microsoft Windows, Outlook, Word, EXCEL, Power Point, etc.
  • Experience / Knowledge of Job Costing Systems would be helpful.
  • Experience dealing directly with customers.
  • Excellent verbal and written communication skills.
  • Must be organized, detail oriented and self-motivating.
  • Ability to multi-task and prioritize among assignments with a strong adherence to deadlines.
  • Learning and understanding the position requirements, be proficient in reading various types of reports and be capable of composing such reports which clearly convey information.
  • Positive Attitude a must.
  • Punctual and Accountable.
  • Possess good judgment, alertness, competency, tact, self-reliance, even temperament.
  • Must be in good health without physical abnormalities which, without reasonable accommodation, would interfere with the performance of normal duties.
  • Able to perform normal or emergency duties requiring moderate to arduous physical exertion including, but not limited to:
    • Standing or walking for an entire shift.
    • Climbing stairs.
    • Lifting and maneuvering system equipment.
  • Able to discriminate between standard colors.

Additional Preferred Qualifications:

  • Associate degree preferred.
  • 3 to 5 years of related experience as described herein.
  • Experience in a complex high-volume, customer service–oriented position.
  • Previous experience in this line of work, preferably in a similar fast paced, ever changing environment having onsite and on-call technicians 24 / 7 / 365. 
  • Honeywell ProWatch and Intellicene (Cognyte / Verint) certification and/or experience.
  • Electronic Security Systems, Electrical, and/or Construction industry experience.
